Why is a Pre-Recorded Video Required?
IMC19 will be conducted in a hybrid format, allowing presenters to participate either in person or virtually. To ensure uninterrupted sessions in the event of internet connectivity issues, power failures, or other technical challenges, all presenters are required to submit a pre-recorded video of their presentation.
The recording will only be used as a backup if the presenter is unable to present live or if technical difficulties occur during the conference. This practice is widely used in hybrid international conferences to ensure smooth session delivery.
Mandatory Submission Requirements
All presenters must submit:
- Presentation Video (.MP4)
- Final PowerPoint Presentation (.PPTX)
- PDF Version of Presentation (.PDF)

Slides with a small webcam window (Picture-in-Picture) showing the presenter.
Option B
Slides with voice narration only.
A visible presenter helps audience engagement and is strongly recommended.
How to Record Your Presentation
Method 1: Microsoft PowerPoint (Recommended)
- Open your presentation.
- Select Slide Show → Record.
- Enable Camera and Microphone.
- Record each slide narration.
- Review the recording.
- Select Export → Create Video.
- Save as MP4.
Method 2: Zoom
- Open Zoom.
- Start a new meeting.
- Share your presentation screen.
- Turn on your camera.
- Click Record.
- Deliver your presentation.
- Stop recording.
- Save the MP4 file
Method 3: Microsoft Teams
- Start a Teams meeting with yourself.
- Share your screen.
- Record the presentation.
- Save the recording.
- Export as MP4.
Audio Recording Guidelines
For the best quality:
✓ Record in a quiet room.
✓ Use a headset or external microphone if available.
✓ Speak slowly and clearly.
✓ Avoid background noise.
✓ Test your recording before submission.
✓ Maintain a consistent speaking volume throughout the presentation.
Avoid:
✗ Traffic noise
✗ Fans or air conditioners close to the microphone
✗ Echo-prone rooms
✗ Interruptions during recording
Good audio quality is more important than high video quality.
Camera and Lighting Guidelines
If using a webcam:
✓ Face the camera.
✓ Position the camera at eye level.
✓ Use good front lighting.
✓ Use a plain, professional background.
✓ Dress professionally.
Avoid:
✗ Bright windows behind you.
✗ Shaky cameras.
✗ Dark rooms.
✗ Distracting backgrounds.
Accessibility Guidelines
As IMC19 promotes inclusion and accessibility, presenters are encouraged to:
- Use high contrast slides.
- Use large readable fonts (minimum 24 pt).
- Avoid excessive animations.
- Describe important images, charts, and diagrams verbally.
- Use simple and clear language.
- Avoid flashing content.
These practices help participants with visual impairments, low vision, hearing impairments, and cognitive disabilities.
File Naming Convention
Please name your files as follows:
IMC19_PresenterName_Country.
Example:

Before You Submit
Please verify:

During the Conference
All presenters, including those who submit recordings, are expected to attend their scheduled session live whenever possible.
Please join your session at least 15 minutes before the scheduled start time for technical checks. If connectivity issues occur, the conference team may play your pre-recorded presentation and invite you to join the discussion when possible.
Consent Statement
By submitting a presentation video, presenters grant IMC19 and Blind People’s Association permission to use the recording solely for conference presentation, backup playback, and conference archive purposes.
